Private Equity Processing

We turn private equity notices into ready-to-book records in your portfolio system, with the original document attached and a full audit trail behind it.

Capital calls, distributions, fees and valuations arrive as PDFs, in a different shape from every general partner. We read them, check them, and deliver them as data — whichever system you run.

Private equity still arrives as paperwork.

A commitment to a fund is a decision made once. The administration it creates never stops: a capital call here, a distribution there, a fee note, a quarterly valuation, each from a different general partner in a slightly different format.

For most Nordic managers this is still a manual job. Someone opens the PDF, works out what kind of notice it is, and types the numbers into a portfolio system. It is slow, it is easy to get wrong, and it gets worse with every fund added to the portfolio.

How it fits together

Private equity processing flowGeneral partners send notices to a dedicated intake address. The Yalmar processing service extracts the transaction details, reviews and validates them, then delivers ready-to-book records with the original document attached to the client's own portfolio system. How it works

  1. 01

    Receive

Notices arrive at a dedicated intake address. General partners can send there directly, or your team forwards from an existing inbox. Nothing needs to be sorted first.

  2. 02

    Extract

We identify the document type and read the details out of the PDF: fund, amount, currency, dates, and the split between capital, fees and returned capital.

  3. 03

    Review

Every extraction is checked before it goes anywhere. Anything ambiguous is corrected by us, not passed on as a booking for someone else to catch.

  4. 04

    Deliver

Ready-to-book records land in your portfolio system with the original notice attached, so the document sits with the transaction it created.

Independent of your back-office system

The hard part of this work is the document, not the destination. We handle the reading, the checking and the audit trail; where the finished record lands is a delivery detail.

That matters when systems change. A migration, or a merger between two firms running different platforms, does not disturb the processing — the same notices are read the same way, and the delivery is pointed somewhere else.

What you get

  • Audit trail from document to entry

Every transaction keeps a full record: which notice it came from, what was read out of it, what was corrected and what was booked. The original PDF stays attached.

  • New GPs without new process

Each general partner has its own layout, and layouts change. A new or altered format is handled by the service, not by your staff learning to read it.

  • Scales with funds, not with headcount

Volume grows with the number of funds and the pace of drawdowns. The work of processing them does not have to grow with it.

  • Exceptions are held, not guessed

A notice we cannot read confidently is held and flagged rather than booked on an assumption. You hear about the exceptions, not the routine.

  • Outsourced service or licensed module

Run it as a service where we do the processing, or license the module and run it with your own team. The engine is the same either way.

Who it is for

Investment advisers and family offices

Private equity commitments arrive as documents and leave as bookings. If that path currently runs through someone reading PDFs, this is the part to hand over.

Firms consolidating systems

Mergers and system migrations rarely standardise the private markets paperwork, because it was never standard to begin with. The processing can carry on unchanged while the systems underneath are sorted out.

Fund administrators

Take on more private markets clients without the intake work growing at the same rate.
